Other Events

Overview

Other Events are events scheduled separately from the AAR and SBL programs. Examples of Other Events include receptions, business meetings, and breakfast and lunch gatherings. Please note that with the exception of AAR RSOs and SBL Affiliates, AAR and SBL do not permit any Other Event sessions of a programmatic nature (i.e., scholarly panel or paper presentations) to occur during regular session times (Saturday through Monday, 9:00 am-11:30 am and 1:00 pm-5:30 pm) without special permission. This policy is to prevent any thematic conflicts between AAR and SBL sessions and Other Events.

Fees and Schedule

Other Events Fees are based on the schedule below, and are non-refundable. We have seven venues that we are utilizing for space this year in Boston: Hynes Convention Center, Fairmont Copley Plaza, Hilton Back Bay, Marriott Copley Place, Park Plaza, Sheraton Boston, and Westin Copley Place. Events will be scheduled in the venue that best suits your needs and based on available space. You will be notified via email per the dates below when your event has been assigned, and will receive the name of the venue, room name, audiovisual contact, and catering contact and menu so that you may make your arrangements directly with the appropriate people.

  • If we receive your Other Events Request Form and payment by July 1:
    • Fee is $50 per 30-minute time slot
    • Event will be listed in the Program Book and At A Glance
    • Confirmation of venue and room assignment by July 24         
  • If we receive your Other Events Request Form and payment by August 6:
    • Fee is $75 per 30-minute time slot
    • Event will be listed in the Mobile App and in the electronic publication At A Glance
    • Confirmation of venue and room assignment by September 4
  • If we receive your Other Events Request Form and payment by October 1:
    • Fee is $75 per 30-minute time slot
    • Event will not be listed in printed publications
    • Confirmation of venue and room assignment by October 15
  • NO Other Events Requests will be accepted after October 1
  • Change requests made after October 1 will incur a $75 per half hour change fee (includes changes to day, time, and/or location)

Required Info

You will need the following information when completing the online Other Events Request:

  • Sponsoring Organization
  • Event title and type
  • Date and time, first and second choices
  • Estimated attendance
  • Room arrangement:
    • Banquet: round tables with 8 to 10 chairs each
    • Conference: table with chairs surrounding the entire table (20 attendees max)
    • Reception: assorted tall and short cocktail tables for reception events
    • Theater: rows of chairs with center aisle facing front for presentation
  • Method of payment
