Publications
Annual Meeting Program Planner – This publication is mailed worldwide and viewed by over 12,000 AAR members (includes previous and current year members). It contains information on the program highlights, a full session listing of all AAR programming, participant listing, and advertising section. Attendees reference the Annual Meeting Program Planner many times in the months before the Annual Meeting.

Annual Meeting Program Book – The Program Book is an onsite publication that provides a full program listing for all sessions of the AAR and Additional Meetings, including the room locations, the latest program changes and additions, maps of the meeting site, a complete exhibitor listing and exhibit hall map, and other information attendees need to know. It is inserted into all attendee tote bags.

Reception and Lounge Sponsorships ($2,500; Deadline October 1) - AAR hosts several hospitality events and lounges throughout the Annual Meeting. Sponsoring an event is a great way to get your message to the general meeting attendee or to a targeted demographic. Each lounge or reception sponsorships is cheaper than the cost of hosting your own reception!
Benefits include:
- Your company's logo on the ticketing and pre-meeting advertising for the event.
- Your company’s logo and booth number on special thank you signage in the reception/lounge.
- Table tents on food tables in reception.
- One 6' table in the reception/lounge to feature specific publications, signage, or information provided by the sponsor.
- 2 priority points for the 2011 Annual Meeting.
AAR Welcome Reception - AAR hosts a Friday Evening Welcome Reception for all Annual Meeting attendees on Friday, October from 7:00 pm to 9:00 pm. The reception will be hosted in a ballroom. Average attendance is 300 people.
AAR Members Party - Dance the night away at the AAR Members Party! All Annual Meeting attendees are invited to the dance party on Saturday, October 30 at 9:00 pm in a ballroom. Over 500 people attend each year.
Racial and Ethnic Minorities Reception - A reception sponsored by the AAR Racial and Ethnic Minorities in the Profession Committee, this event targets a specific demographic at the Annual Meeting. Hosted in a ballroom. Launch a new book series or journal here!
Student Reception - Often more of a party than a reception, this event is a lot of fun and a great way to target today's up and coming scholar. Hosted in a ballroom.
Prayer Lounge - Members retreat to this lounge for a moment of quiet, reflection, and prayer during the Annual Meeting. Place your material in their hands by sponsoring this lounge.
Student Lounge - The student lounge is heavily used throughout the meeting for small roundtable discussions and relaxation space. Coffee service is provided throughout the meeting.
Women's Lounge - Small meetings and reflective moments occur in this lounge. Coffee service is provided throughout the day.
Cyber Café Station ($2,500; deadline September 15) – The Cyber Café, located in the Exhibit Hall, draws heavy foot traffic throughout the meeting as attendees search online for book information and check personal e-mail and web sites. Each sponsorship includes three computer stations within the Cyber Café. The Extra benefits include:
- Opportunity to supply mouse pads at each kiosk
- Home page of each browser is set to your company’s web site
- Special screen saver message
- Table tents and signage within café area
- 2 priority points for 2011 Annual Meeting.
Coffee Break ($2,000 per break; deadline September 15) – Nothing draws customers to your booth better than free coffee! Coffee breaks include enough coffee for 300 people - that is 300 potential customers in your booth! You decide the date and time for the coffee break and it will be listed in the Program Book as well as on promotional signage. This amount of exposure can't be beat!
Tote Bag
The Annual Meeting Tote Bag is given to all Annual Meeting attendees. The tote bag is the one-stop-shop containing the Annual Meeting Program Book and other pertinent Annual Meeting materials.
Tote Bag Sponsorship ($2,500 per sponsorship; deadline July 1) - The tote bag is a sought-after souvenir of the Annual Meeting; have your company logo printed on the side and it will be carried with the attendee long after the meeting is concluded. Extra benefits include:
- One Tote Bag Insert ($1,000 value)
- 2 priority points for 2011 Annual Meeting
Tote Bag Inserts ($1,000 per insert; deadline October 15) – An insert in the tote bag places a marketing piece directly in the hands of all meeting attendees; it can be used to attract attendees to your booth through ads, special coupons, etc. Please note that production of tote bag inserts is the responsibility of the purchaser. Inserts must be shipped to the pre-meeting warehouse by October 20; boxes must be clearly marked as tote bag inserts.
Exhibit Hall Opportunities
Exhibit Hall Map Ad ($250; deadline September 15) – An Exhibit Hall Map containing the exhibit hall floorplan and an alphabetical listing of exhibitors will be inserted into all Annual Meeting tote bags. Highlight your company’s booth presence with a business card sized (2” x 3 1/2”) advertisement on the perimeter of the map with a connecting arrow to drive the attendee’s focus to your booth’s location on the map.
Literature Stand Insert ($250; deadline September 15 ) – Provide exposure to your message, publication, or information by supplying a flyer or brochure in the literature stands. Literature stands will be located inside the Exhibit Hall.
Welcome Banners ($1,000), You Are Here Sign Board ($750), and Standing Sign Boards ($500) – Standard meeting signs can feature advertisements or logos. All 5,000 attendees passing through the registration and exhibit areas will see these signs. Advertisements can include names, logos, and exhibit booth numbers. Deadline is September 15.
Additional Meetings
Organizations, persons, or program units wishing to plan receptions and other meetings before, during, or after the Annual Meeting need to make an Additional Meetings request. More information about Additional Meeting rates and policies can be found on the Additional Meetings page.
Mailing Lists
Pre-Registration List ($1,000 for first 3,000 registrants; deadline September 30) and Final Post-Meeting Lists ($1,500; deadline March 1, 2011) – Reach over half of the attendees before the meeting begins or reach them all when the meeting is over! The pre-registrant mailing list consists of the names and addresses of the first 3,000 registrants to the Annual Meeting. The post-meeting attendee list contains the names and address of all attendees. The list will be sent immediately via e-mail.

AAR reserves the right to decline any artwork, advertisements, inserts, or mailings it deems unacceptable.
Advertising Copy: Artwork is due by the date specified. Advertising copy must be submitted by e-mail in digital format (high-resolution EPS and PDF). Ads that do not fit the exact size specifications may be altered and any charges incurred in so doing will be billed to the advertiser. Failure to provide artwork by deadline may result in cancellation of space. Advertising materials become sole property of AAR. Artwork will not be returned.
Cancellations: Failure to submit copy by the published deadlines for each item will result in cancellation of space. Advertisers who cancel in writing by the published deadlines will receive a refund of the fee paid, less a $100 cancellation fee. No refunds will be issued after printed deadlines.
