At the end of the submission process, an order ID will be assigned. All communications regarding specific label rental requests must include the order ID.

Suitable Materials

5.           The AAR membership list may be rented for use in mailing catalogs, flyers, announcements, etc. which are of a professional interest to those on the list.
6.           The list may not be used for fund raising or solicitations AAR considers unacceptable.
7.           A sample of the proposed mailing must be sent to the AAR by fax before labels will be provided.
8.           Use of the labels for a mailing other than the one provided by fax will jeopardize an advertiser's opportunity to rent labels in the future.

Appropriate Use

10.           Under most circumstances, AAR lists are rented for one-time, one-mailing-use only.  If an institution anticipates sending multiple mailings in a short amount of time, up to four uses of the mailing list may be arranged.
11.           Payment for a list must be received within thirty days.  Payments received more than thirty days after a rental request is submitted may either be returned or applied to a new list request (which may be more expensive as a result of membership growth).  Why?
12.           All mailings using a particular list must be sent within two months of when we deliver the list.  Mailings delivered more than two months after receipt of the list will jeopardize an institution's opportunity to rent labels in the future.  Why?
13.           Each time a label set is provided, the mailing must be sent using that exact label set – not with a label set received previously from the AAR.  Why?
14.           Lists are proprietary to the AAR.  The list, or the names on the list, may not be reproduced in any way or stored electronically in any form.
15.           We monitor the use of these lists and actively defend against misuse.
16.           The list is updated daily and has a very limited shelf life.
17.           Members have the option of excluding their names from label rentals.

Submitting a Request

20.        1.    Start by providing the information for the label request using the online submission form, which begins below.  Note:  We do not accept label rental requests by fax or e-mail; requests may be submitted only by using the form below.
21.        2.    After you click Submit at the bottom of the page, your count and cost will be calculated automatically for you.
22.        3.    If you want the specified number of labels and the cost listed, click the "Yes" button; if not, you can prepare a different count using new parameters, or you can simply close your Web browser.
23.        4.    If you click "Yes" to indicate that you want the labels, an order ID will be generated, and will appear on the confirmation screen.
24.        5.    After getting your order ID, send us a sample of the mailing for which you will be using the labels.  (Unlike the actual label rental request, it is okay to send this sample by fax.)
25.                 You may fax the sample to 1-404-727-7959 or send it as an e-mail attachment (Microsoft Word or PDF) to ajones@aarweb.org.
26.                 The order ID must be provided with the sample; if it is omitted, the sample will be discarded.
27.                 On the confirmation page, you will have an opportunity to print a cover sheet for your fax sample.  This cover sheet will include the order ID, and it is strongly recommended that you use this cover sheet in lieu of your standard institutional cover sheet to avoid delay.
28.                 We understand that some agencies have prepared fax cover sheets which list the parameters of the label rental.  Any instruction on the fax cover sheet regarding label processing will be ignored.  You should make your requests on this form; if there is any update, contact Aislinn Jones at 1-404-727-8132 or ajones@aarweb.org.
29.        6.    After you make payment on the order ID, and after the sample is received, we will prepare your labels and send them to you.
30.                 Payment options will be listed on the confirmation page; they may also be reviewed on the Payments page of this website.
31.                 Please allow us at least two business days to process a payment.  We will try to provide advance notice when scheduling issues will cause delays in processing (such as with staff vacation or the AAR Annual Meeting), but we are unable to do so for unexpected interruptions (such as computer failure or staff illness).
32.                 The order ID must be provided with the payment.  If you are arranging for a check to be sent from a separate department at your institution, it is your responsibility to make certain that the order ID is sent along with the check.
33.                 We do not accept payment in the form of purchase orders.
34.                 If you do not make payment against an order ID, then you simply will not receive the labels – so you are welcome to make the submission even before you have final approval from you institution.  There is no obligation to make payment even after an order ID has been assigned. 
35.                 If you request a refund after making payment, we will withhold a processing fee of 20% of the refund amount. (This fee is waived, of course, for refunds made because of an error on our part.)
36.        7.    Costs are calculated automatically by this system, but the prices are calculated according to the schedule below.  All amounts are in U.S. Dollars (USD).

If you request labels as 4-Up Adhesive or 4-Up Cheshire, responses in this section are irrelevant, as (1) a KeyCode field is not included on labels that we print, (2) the labels will already reflect the proper sequencing of the name and the final line of the address, and (3) the labels will, unless otherwise requested in the comment field, include the country name only for countries other than the US.
